Invoice or quotation: which document should you choose?
Use an invoice when recording an amount requested for products or work already supplied under your arrangement with a client. Use a quotation when presenting proposed scope and pricing before the client accepts the work. Changing the document type updates the wording in the editor and PDF, including “Due date” for an invoice and “Valid until” for a quotation. The generator does not decide which document your local rules or agreement require.
How the total is calculated
Each line amount is quantity multiplied by rate. The line amounts are added to form the subtotal. If a discount percentage is entered, it is deducted from that subtotal. Tax is then calculated on the discounted amount, and the tax amount is added to produce the final total. The editor shows every stage before download so you can compare the result with your own records and agreed pricing.
What to include in a useful document
A practical invoice or quotation normally needs enough information for both parties to recognize the work: distinct sender and client names, a document number, relevant dates, specific line descriptions, quantities, rates, currency and a clear total. For example, official UK guidance lists a unique number, supplier and customer details, descriptions, dates, amounts, applicable VAT and the total, but requirements vary by country, tax status and transaction. Notes can provide project context, while the terms field can record agreed payment timing, a payment reference, quotation validity or scope boundaries.
Local drafts and on-device PDF creation
The form state is saved using local browser storage and the PDF is assembled on your device. Document fields are not submitted to a server for PDF processing, but the saved draft is not encrypted and someone with access to the same browser profile and site data may be able to read it. A local draft is convenient, but it is not a durable accounting record: clearing site data, using a private browsing window or switching devices can remove or hide it. Keep downloaded copies in your normal record-keeping system.
A repeatable workflow for recurring work
After creating one document, leave reusable sender details and standard terms in the saved browser draft. For the next client, replace the recipient, document number, dates and line items, carefully review every retained field, and download a new file. The sample button is only a demonstration; replace all sample names, addresses, prices and terms before using its PDF.

- This tool performs document arithmetic and PDF layout; it is not accounting, tax or legal advice and does not determine whether a document complies with rules in your location.
- Tax is a single percentage applied after the document-level discount. Compound taxes, withholding, per-item tax categories, shipping and fixed-amount adjustments are not modeled.
- The draft is stored only in this browser. Clearing browser data, using private browsing or moving to another browser or device can make the draft unavailable.
- Built-in PDF fonts have limited character coverage. Review names, addresses and descriptions that use scripts or symbols outside common Latin text after download.
